Add a person to your team

2 min readUpdated October 28, 2026

You add a person by their email address and choose their role. Docmunk emails them, and they sign in with a code or with Google.

Before you start

  • Owners and admins can add people. Only an owner can add an owner.
  • You know the address the person signs in with. For Google sign-in, it is the address of their Google account.

Add the person

  1. Open Team

Select your name, then select Team.

  2. Start the invitation

On Team, select Add a person.

  3. Fill it in and send it

Enter the person's Email and Name, and choose a Role. Then select Add.

    • Member: the default. Writes and edits articles, reviews proposed edits, and publishes articles.
    • Admin: also adds products, links code, sets up the help site and the bots, and adds people.
    • Owner: also makes owners, changes roles, and removes people. Only an owner sees this choice.
    • Password: leave it empty for a person. For an address with no mailbox, such as a bot's, select Make one. Docmunk then sends no email.

Docmunk emails the person. Until they first sign in to Docmunk, their row on Team says “invited”. If “… the invitation did not go” shows, select Send again in their row.

What the person receives

The email says you added them to your organization on Docmunk, and gives the address to sign in at. There, they enter their email and sign in with the code Docmunk sends. With a Google account, they can select Continue with Google instead. See Sign in to Docmunk.

Google sign-in works only for an address someone added. Any other address gets “Docmunk is invite only. Ask an owner on your team to add this Google address.”

If no code arrives, see No sign-in code arrives.

If they already have an account

A person in another organization keeps their account and the name on it. Docmunk adds them to yours with the role you chose and emails them. To switch organizations, they select their name, then the organization.

A person already on your team gets no email, and “… updated” shows. If you chose a different role, Docmunk changes it. Only an owner can do that.

An address that signs in with a code or with Google takes no Password.

Choosing a role

Start with Member. Roles lists what each role can do. Choose another role when:

  • The person adds products, links code, or sets up the help site: Admin.
  • The person also changes roles or removes people: Owner.
